Job Highlight: Care Admin Specialist
The Care Admin Specialist supports the admissions and clinical teams by managing patient records, maintaining data accuracy, transferring information between systems, and assisting with a variety of administrative tasks.
This role plays an important part in helping Charlie Health deliver care efficiently while maintaining compliance and protecting patient information.
Key Responsibilities
Data Review and Transfer
• Review and transfer patient information between Salesforce and medical records systems
• Ensure information is accurate and complete
• Follow established data management procedures
Patient Records Management
• Maintain patient charts and documentation
• Keep records organized and up to date
• Ensure documentation meets internal and regulatory requirements
Administrative Support
• Schedule appointments and meetings
• Prepare documents and correspondence
• Support admissions and clinical teams with administrative tasks
• Respond to workflow, technology, and team support requests
• Assist with attendance tracking and scheduling
Data Entry and Quality Control
• Enter and update patient information
• Monitor data accuracy and integrity
• Identify and resolve discrepancies
Compliance and Privacy
• Follow HIPAA requirements and company policies
• Maintain confidentiality of patient information
• Adhere to data handling and storage procedures
Qualifications
• At least 1 year of relevant work experience
• Associate or Bachelor's degree in health sciences, communications, or a related field
• Strong organizational skills and attention to detail
• Ability to manage multiple priorities in a fast-paced environment
• Strong communication and interpersonal skills
• Commitment to confidentiality and compliance standards
• Willingness to learn new systems and processes
Preferred Qualifications
• Previous healthcare or administrative experience
• Experience with data operations, data entry, or data management
• Familiarity with Salesforce, Google Sheets, or electronic medical record systems
• Experience supporting cross-functional teams
