About Your Work
Under general supervision, the Appointment Scheduler role is primarily responsible for scheduling and confirming appointments. This role works closely with the administrative, clinical and management teams to support patient care efforts.
This role provides support to clinical functions as the administrative support and the position includes, and not limited to: conducting outbound calls, scheduling appointments, receiving/relaying messages, documenting telephone encounters, and in-baskets.
You Will Focus On:
- Conduct outbound cold calls to prospective patients to schedule clinical assessment appointments.
- Handle objections or questions from patients and use problem-solving skills to overcome challenges in scheduling.
- Track and report scheduling metrics, such as appointment rates and conversion of calls to booked appointments.
- Ensure compliance with HIPAA and other relevant regulations when handling patient information and scheduling appointments.
- Registers patients for their appointment; confirms and/or updates insurance coverage and patient demographic information.
- Supports incoming calls and other correspondences, including scheduling and confirming appointments, triaging calls for clinical team, supports incoming calls and other correspondences.
The Skills And Experience You Bring:
- Maintain a professional and empathetic tone while communicating with clients, ensuring clarity about the purpose of the clinical assessment.
- Strong interpersonal and customer service skills
- Experience with an electronic medical record, MS word, Excel, Outlook and the ability to learn new applications
- Ability to manage multiple priorities
- Ability to communicate (both internally and externally) clearly and consistently with established procedures and guidelines
- Ability to work with minimal supervision
- Ability to use good judgment and work independently
- Proven ability to deal with a wide variety of individuals
- Ability to deal sensitively and effectively with patients.
- Excellent organizational and problem-solving skills.
- Education: High School graduate or equivalent.
- Experience: Demonstrated experience in health care in the following areas: patient scheduling, insurance verification, medical record data abstraction (1 – 2 years).
- Preferred Experience: Prior experience with call center, sales, appointment scheduling, or ancillary service.
- Preferred Experience: EPIC experience
